Shipping Terms & Service Guide

From product purchases to consignment and buyback shipments, this page provides an overview of XIAOMA's shipping services.

International Shipping Responsibility Notice

To ensure the safety and quality of international shipments, please review and understand the following before placing your order.

(1) Shipping Address Confirmation

Please make sure the recipient name, phone number, and shipping address are accurate before placing your order.

Any address change after dispatch requires prior written confirmation from us. Depending on logistics conditions and security risks, we reserve the right to decline address change requests.

(2) Address Changes, Forwarding & Third-Party Receiving Services

We are not responsible for delays, loss, damage, misdelivery, or other risks caused by direct address changes with the courier, forwarding services, or third-party receiving services, including forwarding warehouses, hotels, or proxy receiving locations.

(3) Responsibility After Delivery

Once the courier marks the shipment as delivered and signed, the delivery will be considered completed, and responsibility and risk for the item will transfer to the recipient.

For high-value items, personal receipt by the purchaser is strongly recommended. Please inspect the outer packaging and item condition upon delivery.

(4) International Shipping & Customs Risks

International shipments may be delayed, inspected, held, or returned due to customs procedures, air transportation conditions, weather, traffic, international situations, or other circumstances beyond our control.

These are considered normal risks associated with international shipping. We will reasonably assist in tracking and confirming shipment status; however, we are unable to assume responsibility for matters beyond our control.

Shipping Information for Purchases

Shipping Methods

International Shipping:

  • DHL Express
  • FedEx
  • EMS

Domestic Shipping:

  • Japan: Sagawa Express
  • Singapore: Lalamove
  • Hong Kong: SF Express

Shipping Fees

Shipping fees are calculated based on the item inventory location and delivery destination.

Free shipping applies in the following cases:

  • Items shipped locally within the same region as the inventory location
  • International orders over JPY 100,000 (approximately HKD 5,000 / SGD 900)

For international orders below the above amount, shipping fees will be charged according to the courier's rates.

Estimated Delivery Time

  • Orders will be shipped within 3 business days after payment confirmation.
  • Estimated delivery time is approximately 3-7 days depending on destination and logistics conditions.

※ Actual delivery times may vary due to weather or transportation conditions.

Shipping Notes

  • Import/Export Restrictions for Certain Materials:
    Some exotic material items may be restricted by import/export regulations and can only be purchased from inventory located within your country. Please check the inventory location on the product page.
  • Costs to Be Borne by the Customer:
    • Import duties, customs taxes, handling fees, and related charges imposed by local authorities
    • Additional shipping fees caused by non-designated shipping providers

Shipping Process for Buyback & Consignment Services

Please review the following instructions when using our shipping buyback service.

Shipping from Japan

  1. We will send you a dedicated shipping kit.
  2. Please complete the enclosed buyback/consignment application form.
  3. Carefully pack the item and all accessories using the provided materials.
  4. Include a copy of your identification document.
  5. Attach the shipping label and send the package using the designated method.

Shipping from Overseas

  1. Log in to your member account and confirm your appraisal request status.
  2. Download and print the shipping label from your member page.
  3. Prepare appropriate packaging materials and securely pack the item and accessories.
  4. Include a copy of your identification document.
  5. Attach the shipping label and ship the package accordingly.

Important Notes

  • Identification documents must show your current residential address.
  • Please confirm all items, accessories, and documents before shipping.
  • Carefully package items to avoid damage during transportation.
  • Please refer to our Buyback Guide for detailed procedures and conditions.

Shipping Notes for Exotic Leather Items

Please note the following when shipping exotic leather products such as crocodile or lizard leather items.

  1. CITES Restrictions:
    Certain items may not be eligible for international shipping due to CITES regulations.
  2. Customs Inspection & Clearance Risks:
    Packages may be subject to customs inspection, delays, or temporary holds during transit.
  3. XIAOMA Receiving Regions:
    XIAOMA currently accepts shipments in Hong Kong, Japan, Singapore, and Dubai. Please ensure compliance with local laws and regulations before shipping.

Return & Exchange Policy

Returns & Exchanges for Purchases

We only accept returns or exchanges under the following condition:

  • The delivered item does not match the original order.

Important Notes

  • Returns are only accepted for undisclosed defects not previously stated by us.
  • Notification must be made on the same day the item is delivered.
  • Certain items may not be eligible for returns.

Return Shipping for Buyback Cancellation

If you decide to cancel your shipping buyback request, we will return the item to you free of charge.
